All purchase of Alliance Française Ottawa (AF OTTAWA) Products or services requires acceptance of the following Terms and Conditions. Ontario Law applies.

 

PLACEMENT TEST AND PRODUCTS

A placement test (Online test and Oral Interview with one of our instructors) is mandatory for all new students and for AF OTTAWA returning students who have not participated in a course in the previous twelve (12) months. The placement tests are non-refundable and non-transferable. Purchase of the following products is final, non-refundable and non-transferable.

  • Shipping and handling fees
  • Learning material (i.e., textbooks, exercise books, Frello)
  • PrepMyFuture online programs

 

REGISTRATION FEES & MEMBERSHIP

New students and returning students (who have not participated in a course in the past year): $45.00 yearly administrative fee.
Member signing up for a class: $25.00 yearly administrative fee.
Registration and administrative fees are non-refundable and are effective from the date of purchase.

 

METHODS OF PAYMENT

Online or over the phone: VISA Credit or debit, MASTERCARD credit or debit, AMEX (+2.4% fees will be applied), Discover.

In person: VISA Credit or debit, MASTERCARD credit or debit, direct deposit, Interac transfer, AMEX (+2.4% fees will be applied), Discover, Debit/Interac card.
Cheques payable to AFRCNC or Alliance Française de la Région de la Capitale Nationale du Canada.
A $50.00 NSF fee will be charged for non-sufficient funds cheques.

AF OTTAWA is a Canadian non-profit and charitable organization. Training fees are eligible for the tuition tax credit.
Certificates are issued once per year, at the end of February (communication of SIN number might be required and will not be retained once processed).

Bank information is not recorded and are then destroyed once payment is processed.

 

PRIVACY & EMAIL USAGE POLICY

AF OTTAWA will ask you to provide the information necessary to process your class or exam registration: name, telephone number, email address, ID, etc. Students’ and members’ private information will never be shared with any third party.

This information will be used for communication purposes to improve the quality of our services (customer satisfaction survey, session information). You reserve the right to unsubscribe from these e-mails.

Lessons may be recorded strictly for quality control; no diffusion will be made without the participants’ approval.

 

GROUP CLASSES & WORKSHOPS (PROGRAMMED)

Students must be 16 years old minimum to enroll in an adult group class. Parents’/Legal guardians’ permission required for minors.

Individual clients/students: all fees payable upon registration: full tuition, learning material and other (if applicable).

Employer-financed training: full payment required one week after the first lesson.

Students who join the group during the session pay the full amount.

AF OTTAWA reserves the right to cancel any course or reduce the number of instructional hours of any given group course due to insufficient enrollment.

The course duration to cover the entire planned curriculum for each level, depending on the number of registrants, is as follows:
– 6 registered students or more: full session duration of 26 hours, except in exceptional case
– 5 registered students: 24 hours
– 3 to 4 registered students: 22 hours
– Fewer than 3 registered students: the class is cancelled

CANCELLATION REQUEST FROM STUDENT OR EMPLOYER:
Once the course has started, registration is final. Refunds and/or credits must be requested minimum 2 business days before the first lesson via emailing info@af.ca.

Exception: medical emergency supported by documentary evidence (i.e., hospital note).

A $75.00 cancellation fee will be automatically applied to all cancellations or request to postpone to another session.

Learning material is non-refundable.

All credit notes are valid for one (1) year; they can be used as payment for any other service provided by AF OTTAWA, i.e., another class, private lessons, books, or events. Credit notes are nontransferable.

AF OTTAWA cannot be held responsible for students’ changes in work commitments or personal circumstances.

Classes may occasionally be recorded for quality assurance purposes.

 

CUSTOMISED COURSES /MCEL

Individual clients/students (PRIV):

All fees must be paid at the time of course registration: course hours, administrative fees, learning materials, and any other applicable charges.
Payment must be received at least 72 hours before the start of the first lesson to guarantee the training. If payment is not received within this time frame, the course cannot be confirmed, and the start date must be postponed. After three postponements, the c

Employer-financed training (CORP):

Administrative fees and learning materials are payable at the time of registration.

Course hours may be paid either in full or on a monthly basis. Payment is due within 30 days of the invoice date.

Signed documents and payment of the above fees are required at least 72 hours before the first lesson to guarantee training. If these are not received on time, the course cannot be confirmed, and the start date will be postponed. After three postponements, the course will be removed from the teacher’s schedule and the time slot will be released.

Semi-Private Courses (PRIV/CORP):
No adjustments or student withdrawals are permitted once the course has begun.
Minimum contract length: 20 hours.

Mon Cours en Ligne Program (PRIV/CORP):
Fixed course duration: 13 hours.
Full payment is required:
• At least 72 hours before the first lesson for PRIV contracts
• Within 30 days of invoice receipt for CORP contracts

For private, semi-private, and MCEL courses (PRIV and CORP), if no response is received from the student within 72 hours following three (3) follow-up attempts regarding the course proposal, document signing, or payment, the course will be automatically removed from the teacher’s schedule and the reserved time slot released.

CONTRACT CANCELLATION:

AF OTTAWA cannot be held responsible for students’ changes in work commitments or personal circumstances.

Once the course has begun, registration is final. However, cancellation requests may be submitted via email to privatecourses@af.ca and info@af.ca.
Administrative fees and learning materials are non-refundable and non-creditable.
Program transfers (e.g., from private courses to MCEL or group classes, and vice versa) are not permitted.
Course hours cannot be transferred to a third party.
Exception: medical or family emergency supported by documentary evidence (i.e., a hospital note).

Cancellation Conditions and Penalties
Individual Clients/Students (PRIV):
• More than 7 business days before the first lesson:
→ Course fees may be refunded or credited (all credit notes are valid for one (1) year)
→ Administrative fees and materials are non-refundable
→ A penalty fee equal to 10% of the total contract applies

• Between 2–7 business days before first lesson:
→ No refund available, but a credit of 90% of contract value will be issued (all credit notes are valid for one (1) year)
→ Administrative fees and materials are non-refundable

• Less than 48 hours before the first lesson or after course start:
→ No refund or credit will be issued

Employer-Financed Training (CORP):
• More than 72 business hours before the first lesson:
→ Admin fees and materials are non-refundable
→ A penalty fee of 10% of the contract total applies

• Less than 72 hours before first lesson or after course start:
→ Admin fees and materials are non-refundable
→ Two weeks of course fees will be billed from the cancellation date
→ A penalty fee of 10% of the contract total applies

Business hours: Monday to Friday, 8:30 a.m. to 5:00 p.m. (excluding Ontario public holidays).

LESSON CANCELLATION
Once a contract is signed or a payment is made, the schedule is fixed. Students may not request changes to the full timetable (days, time slots, duration).
Occasional rescheduling or cancellations may be accepted for exceptional circumstances, within the limit set by the contract (see below):

Private Courses & MCEL
One (1) adjustment allowed per 10-hour block. Any cancellation beyond this quota will be billed, even if requested with sufficient notice.
Requests must be submitted at least 2 business days in advance by email to privatecourses@af.ca and info@af.ca
Lessons cancelled without 2 business days’ notice will be billed in full
Business hours: Monday to Friday, 8:30 a.m. to 5:00 p.m. (excluding Ontario public holidays)
Exception: documented medical or family emergencies (e.g., a hospital note)

Semi-Private Courses
No adjustments allowed
Alliance Française Ottawa reserves the right to cancel or postpone one or more sessions at any time for organizational reasons. Any affected session(s) will be rescheduled at no additional cost, either at a later date or at the end of the contract, subject to the availability of both the student and the instructor.

CONTRACT PAUSE
AF OTTAWA cannot be held responsible for students’ changes in work commitments or personal circumstances.
A contract may not be paused once started, except in the case of a documented medical or family emergency.
If a student can no longer attend, cancellation conditions apply.

CONTRACT EXTENSION
Students may extend their contract under the following conditions:
• If the number of hours is equal to or less than the original contract, the hourly rate remains unchanged
• If the number of hours increases but stays within the same rate bracket, the rate remains unchanged
• If the increase leads to a new pricing tier, the lower hourly rate of the new tier applies
Courses may occasionally be recorded for quality assurance purposes.

 

TESTS & CERTIFICATIONS

It is the sole responsibility of the candidate to ensure that he/she is registered for the appropriate exam. AF OTTAWA and its employees cannot be held responsible for the choices made by the candidate.

Full payment required upon registration.

Per official institutions’ requests, additional personal information may be required to register for certain tests.

By signing up candidates understand and agree to abide by any restrictions and/or special accommodations mandated by AF OTTAWA and/or government authorities (i.e. health restrictions).

A $75 fee will be charged for any request to send a DELF-DALF transcript to a person or organization other than the candidate.

All applications and supporting documentation must be received/saved before the registration deadline (see calendar). No application will be accepted if received incomplete or after the registration deadline. No exceptions will be made.

Any candidate arriving after the time indicated on the convocation will be refused entry to the examination room.

TCF:
Candidates may request a new correction of their written and/or oral production. These requests mustbe submitted within 30 days of the publication of the attestations. A fee of $80 for each part (writing or speaking) will be charged for each request.

TEF:
No further corrections are possible.

DELF-DALF:
A fee of $75 will be charged for any request to send a DELF-DALF transcript to any person or
organization other than the candidate.
A fee of $75 will be charged for the issuance of a transcript.
A fee of $25 will be charged for any request to send the diploma via FedEx.

All request to reissue a diploma, or a certificate delivered will be billed $20.

DELOCALIZED EXAMS:
An application fee of $55 will automatically be applied to all applications for delocalized exams. Annual administrative fees of $45 will be billed before the 1st day of the exams along with the hours of supervision ($45/ hour of test to be supervised).
In the event of withdrawal by the applicant, these fees will not be reimbursed.Exceptions can be made in cases of medical or family emergencies, provided they are supported by documentary evidence (e.g., hospital note).

The certificates of results are personal and confidential. We will not be able to transmit them on to anyone other than the candidate.

All requests to cancel or reschedule must be received before the registration deadline.
No refund or request to reschedule will be processed if received after the registration deadline.

Exception: medical or family emergency supported by documentary evidence (i.e. hospital note).

CANCELLATION OR REPORT PENALTY:
$80.00 cancellation fee will be automatically applied to all cancellations or requests to reschedule received before the deadline via email at info@af.ca.

No refund or credit will be granted under any circumstances past the prementioned deadlines.

If AF OTTAWA must cancel a session of tests, an alternative exam date will be offered, or a full refund will be granted.

All request to reissue a diploma, or a certificate delivered will be billed 20$.

 

CULTURAL EVENTS

Tickets are neither exchangeable nor refundable. In the event of a schedule change, the Alliance Française Ottawa will do its best to inform participants of any updates or errors. However, it is the responsibility of each participant to verify the accuracy of the event details. If events are postponed or cancelled, AF OTTAWA will offer a credit note for a future event.

AF OTTAWA is not liable for any damages, accident or loss that occur before, during or after the event.

Twenty minutes before the scheduled start time of an event, entry is not guaranteed for ticket holders.

By participating in Alliance Française Ottawa events, you consent to being photographed or filmed for communications purposes. You reserve the right to explicitly refuse.

Individual Membership: $30.00 yearly fee.
Family Membership: $50.00 yearly fee (parent, spouse and their children under 18 years of age).
AF OTTAWA student becoming a member: $25.00 yearly fee.
AF OTTAWA student becoming a member (family membership): $42.00 yearly fee.

Membership fees are non-refundable.

VALIDITY

Store credit notes, discounts and promotional codes are personal, individual and non-transferable. They are valid for their own period.

Definition of “business days”: 8:30am to 5pm, Monday to Friday (except Ontario statutory holidays).
